FreshBooks vs QuickBooks for Freelancers: Which Fits a One-Person Business?

Updated October 30, 2026 · Facts checked against official sources linked at the end · 9 min read

The short answer

  • Pick FreshBooks if your business is mostly billing clients for services and you want polished invoices, plus (on the Plus plan and above) proposals, retainers and receipt scanning.
  • Pick QuickBooks Solopreneur if you work alone, file a Schedule C, drive a lot for work and mainly want income, expenses and mileage organised for tax time.
  • Pick QuickBooks Online Simple Start if you want full accounting that an accountant will recognise and room to grow into bigger plans later.
  • Pick neither yet if you send only a few invoices a month: a free spreadsheet or a free invoicing app may be enough.

FreshBooks and QuickBooks are the two names most freelancers hear first. They overlap, but they were built for different jobs. FreshBooks started as invoicing software for service businesses. QuickBooks is a full accounting system, and Intuit also sells a simpler version, QuickBooks Solopreneur, for one-person businesses.

This guide compares the plans a one-person business is most likely to consider. It uses only the prices and plan details published on each company's own pages (checked October 30, 2026, sources at the end).

Prices at a glance (US list prices)

PlanList priceBuilt-in limit to watchBest for
FreshBooks Lite$23/monthUp to 5 billable clientsVery small client lists
FreshBooks Plus$43/monthUp to 50 billable clientsMost growing service businesses
FreshBooks Premium$70/monthUnlimited billable clientsHigh client volume
QuickBooks Solopreneur$20/monthDesigned for one-person businesses (no employees)Schedule C filers who want tax-time organisation
QuickBooks Online Simple Start$38/month1 billable user (plus access for 2 accounting firms)Full double-entry books, accountant-friendly

Both companies regularly run introductory discounts (for example, a percentage off for the first few months). Discounts end, so compare the list price you'll pay afterwards. FreshBooks says yearly billing carries a 10% discount on its US plans.

The client-limit trap (FreshBooks)

FreshBooks prices its plans by the number of billable clients: 5 on Lite and 50 on Plus. FreshBooks' pricing page says the limit counts both active and archived clients, so old one-off clients still use up a slot. That matters more than the headline price.

Take a house cleaner with 12 recurring clients. FreshBooks Lite doesn't fit, so the real comparison is FreshBooks Plus at $43/month against QuickBooks. A designer with three retainer clients, on the other hand, fits comfortably on Lite at $23.

Rule of thumb: count every client you've billed and expect to keep on file (including past one-off clients), add a buffer for growth, and price the plan that covers that number.

FreshBooks: who it suits, and watch-outs

Suits: service businesses whose day revolves around clients: designers, consultants, cleaners, coaches, photographers. Proposals, retainers and receipt scanning arrive on the Plus plan, so most growing service businesses end up comparing Plus rather than Lite.

Watch-outs:

QuickBooks Solopreneur: who it suits, and watch-outs

Suits: sole proprietors and single-member LLCs who file Schedule C, especially if a car is part of the job. Intuit describes it as designed for self-employed people without employees.

Watch-outs:

QuickBooks Online Simple Start: who it suits, and watch-outs

Suits: owners who want "real" bookkeeping that accountants are used to, or who expect to grow into multiple users, inventory or payroll later.

Watch-outs: at $38/month list it's the priciest of the entry options here, and it covers one billable user. Adding users means moving up to Essentials ($85/month list, up to 3 users) or Plus ($140/month, up to 5 users). You may also pay for accounting depth you won't use in year one.

Do you need accounting software at all?

Not necessarily. The IRS says that, except in a few cases, the law doesn't require any special kind of records: you can choose any record-keeping system that clearly shows your income and expenses. Plenty of new freelancers start with a spreadsheet and move to software once invoicing or bank reconciliation becomes a weekly chore.

Signs it's time to switch: you chase late payments by hand, you spend more than an hour a week copying bank transactions, or your accountant asks for reports you can't produce.

How to trial software without regret

  1. Write down your must-haves first (client count, online payments, mileage, proposals) and check them against the plan page, not the marketing page.
  2. Use real data during the trial: send one real invoice and import last month's bank transactions.
  3. Note when the introductory price ends and put a reminder in your calendar.
  4. Check how to export your data before committing, so you can leave later if you need to.
  5. Ask your tax preparer which reports they want at year end.

FAQ

Is FreshBooks or QuickBooks cheaper for a freelancer?

At list price, QuickBooks Solopreneur ($20/month) is the cheapest plan here, followed by FreshBooks Lite ($23/month, 5 billable clients). With more than 5 clients, FreshBooks Plus ($43/month) is the fairer comparison.

Can I switch from one to the other later?

Yes. Both are subscription products. Before switching, export your client list, invoices and reports, and keep copies for your records.

Which is better for Etsy sellers and makers?

Product sellers usually care more about expenses, fees and inventory than about client invoices, which tends to favour QuickBooks. We're preparing a dedicated guide for Etsy sellers.

Do these apps file my taxes?

They organise your records. Tax filing is a separate step. Intuit offers QuickBooks Live Tax (powered by TurboTax) as a separate service for Schedule C filers.
